We process your name, contact details, appointments, correspondence, payment and invoice information for enquiries, bookings, treatments and administration. The legal basis is entering into or performing a contract or a legal obligation. Limited technical information is processed for security and website operation on the basis of our legitimate interests.
Where health information is recorded on the basis of consent, we request explicit consent and limit it to information relevant to treatment. Treatment photographs require permission; identifiable publication on our website, social media or in advertising requires separate permission. Publication consent is not a condition of booking.
Wix, bookings, chat and retention
Our website, booking environment and Tatiana AI use Wix. Tatiana AI is an automated chat. Messages and contact information you enter are processed to answer your enquiry and may be read and followed up by Beauty & Mind through Wix Inbox. Do not share medical documents or detailed health information in the AI chat; contact us directly instead.
Where necessary, data is shared with hosting, communications, payment and administrative service providers. We agree security and confidentiality requirements with processors. If you book through Treatwell, its privacy policy also governs its own processing. Transfers outside the EEA require appropriate safeguards, such as an adequacy decision or European standard contractual clauses.
Ordinary customer and appointment records are retained for a maximum of two years after the last contact. Standalone enquiries and chat conversations are retained for a maximum of six months after resolution. Necessary tax records are generally retained for seven years. Relevant information from a conversation may become part of an appointment or administrative record and then follows that record’s retention period.
We assess the need for consultation information and treatment photographs when a course of treatment ends and retain them no longer than necessary for the agreed treatment and aftercare. A specific statutory record-keeping duty or an actual dispute may require longer retention, limited to the necessary data and duration. Consent for marketing photographs can be withdrawn. These periods constitute our retention policy and do not mean that all deletion takes place automatically.
Cookies, security and your rights
The website uses necessary security and operational cookies. Checks identified XSRF-TOKEN (security, session), ssr-caching (temporary rendering cache) and __cf_bm (bot protection). Validity may differ by technical application; session cookies end with the browser session and temporary cookies expire according to their configured lifetime. Wix may use additional necessary cookies for features such as login and booking.
Non-essential advertising, tracking or analytics cookies requiring consent must only be used with prior consent. You can manage and delete cookies in your browser. For cookies requiring consent, the website must also provide a way to change your choice; browser settings do not replace that facility.
We restrict access to people who need information and apply appropriate security measures. You may request access, correction, deletion, restriction or portability and object where applicable. Consent can be withdrawn without affecting the lawfulness of earlier processing. Email info@beauty-mind.nl; we normally respond within one month. You may complain to the Dutch Data Protection Authority at autoriteitpersoonsgegevens.nl.
Newsletters and promotions are sent with consent or under the legal exception for existing customers. Unsubscribing is straightforward. Necessary appointment and service messages are separate.
